1. Location
☐ Reserve the campsite
☐ Print out directions to the campsite
☐ Look up and print info for nearest hospital and emergency services
☐ Confirm any campsite rules and check-in procedures

2. Paperwork
☐ Hand out permission slips
☐ Collect all permission slips before departure
☐ Check that all Scouts and adults have current medical forms
☐ Make copies of emergency contacts for adult leaders

3. Activities
☐ Create a list of planned activities
☐ Make sure activities follow the Guide to Safe Scouting
☐ Check what rank requirements might be completed
☐ Check for possible merit badge requirements
☐ Assign Scouts or adults to lead each activity
☐ List any adults with special training (lifeguard, climbing, etc.)

4. Religious Services
☐ Talk to the Chaplain’s Aide or an adult leader
☐ Choose a location for services (on-site or nearby place of worship)
☐ Find out the time of services
☐ Print directions to the service location
☐ Call ahead to confirm service time and let them know Scouts are coming
☐ Make sure there are enough drivers to transport everyone if needed

5. Communication and Promotion
☐ Announce the outing at troop meetings
☐ Create a sign-up sheet
☐ Remind Scouts what to bring
☐ Share packing list and schedule with Scouts and families

6. Final Prep
☐ Double-check reservations
☐ Check weather forecast
☐ Make sure equipment is ready (tents, cooking gear, etc.)
☐ Touch base with your adult advisor before departure
